What we collect, why, and for how long
| Information | Why we use it and how long we keep it | Legal basis |
|---|---|---|
| When you contact us by email: your name, email address and anything else you choose to tell us. | To answer your enquiry and, if we go on to work together, to manage that relationship. We delete it within 12 months of our correspondence ending. If we enter a contract with you, we keep it for the length of the contract and two years after. | Our legitimate interest in answering enquiries and telling you about our services. Where we have a contract with you, it's necessary for that contract. |
| When you apply for a job: your name, contact details, CV, career and education history, and anything else you send us. | To consider your application. If you're unsuccessful, we delete it within seven months of telling you the outcome, unless you agree to us keeping it longer so we can tell you about future roles. If you're successful, we'll give you a separate notice for employees. | Our legitimate interest in recruiting, and taking steps at your request before entering a contract. |
| How you use this website, only if you accept analytics cookies: the pages you visit, how you arrived, your device and browser, your approximate location and a randomly generated identifier, collected by Google Analytics, which we load through Google Tag Manager. | To understand how the site is used and improve it. Google Analytics keeps this information for 14 months. Google signals and advertising features are switched off. | Your consent, which you can withdraw at any time with "Cookie settings" at the foot of every page. |
| Your cookie choice: whether you accepted or rejected analytics cookies. | So we don't ask you again. It's kept in a cookie on your device for 12 months. | Our legitimate interest in respecting your choice. This cookie is strictly necessary. |
| Technical information your browser sends whenever you visit: your IP address, browser type and the pages requested. | To deliver the site and protect it from attacks. Our hosting provider and Cloudflare, which sits in front of the site, receive it, as do the public content networks (cdnjs and jsDelivr) the site's animation code is loaded from. It's kept for short periods in server and security logs. | Our legitimate interest in running a secure website. |
We don't sell your information, and we don't use it for automated decision-making or profiling.
Who we share it with
We only share personal information where the law allows it, and only as much as is needed:
- companies that provide services to us, such as email and IT, website hosting and security and, only if you accept analytics cookies, Google Analytics and Google Tag Manager. They act on our instructions and must keep your information secure;
- other companies in The Freethinking Group, where they need it to help answer your enquiry or deliver work for you;
- our professional advisers, such as lawyers, accountants and insurers;
- regulators, law enforcement or others, where the law requires it; and
- a buyer or successor, if our business is sold or restructured. Before a sale completes, we share only anonymised information wherever we can.
Information sent outside the UK
Some of our service providers, such as Google, Cloudflare and our email and IT providers, may process personal information outside the UK, including in the United States. When that happens, it's protected by one of the safeguards UK law recognises:
- the UK government has found that the country protects personal information adequately, including under the UK–US data bridge for US companies certified to it; or
- the provider has signed the Information Commissioner's International Data Transfer Agreement, or the UK Addendum to the EU's standard contractual clauses.
Keeping it secure
We use appropriate technical and organisational measures to protect personal information, and The Freethinking Group, which we're part of, is certified to ISO/IEC 27001. Our security page explains how our platforms are protected. No website or email is completely secure, so please don't send us confidential or sensitive information by email.
If we believe the security of your personal information has been compromised, we'll tell you as quickly as we can where the law requires it.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that's wrong or incomplete;
- ask us to delete your information where there's no good reason for us to keep it;
- object to us using your information where we rely on our legitimate interests;
- ask us to restrict how we use your information;
- ask for your information in a portable format; and
- withdraw your consent at any time where we rely on it. For analytics cookies, use "Cookie settings" at the foot of any page.
To use any of these rights, email [email protected]. There's no fee, and we'll reply within one month. We may need to confirm your identity first.
